How do I organise a seminar or private event via MyConciergeHotel?

Three steps: 1) specify your need (event type, dates, number of participants, target city or region) via the form or by email at mice@myconciergehotel.com; 2) our MICE cell selects 3-5 eligible hotels from our Palace and 5★ catalogue, checks room and accommodation availability, prepares a comparative quote within 24 business hours; 3) after choice, your MICE concierge coordinates AV brief, catering, accommodation, transfers and timing. No additional agency fee — standard IATA commissions. Last updated May 2026.

5 event formats handled

Corporate seminar

10-200 participants. Plenary halls + sub-commissions, corporate catering (working lunches, gala dinners), team-building, group transfers. Suited for executive committees, sales kick-offs, codir, leadership trainings.

Wedding & private ceremony

30-300 guests. Secular or religious ceremony, cocktail, seated dinner (round or banquet), dance party. Room block for guests, complimentary bridal suite per hotel. External wedding planner coordination possible.

Private anniversary / family celebration

15-100 guests. Privatisation of a gastronomic restaurant, terrace or wine cellar. Seated dinner or standing cocktail format. Ideal for milestone birthdays, baptisms, engagement parties.

Product launch / press evening

50-400 guests. Privatisation of state rooms, press dressing rooms, ephemeral signage. AV regie, security, press transfer coordination. Post-event reporting (official photos).

Creative retreat / executive off-site

5-30 participants. Hotel privatised in small format, intensive (3-5 days), in-room work + outdoor workshops (cooking, tasting, nature). CEO/CTO/board profiles, creative agencies, product teams.

MICE — frequently asked questions

What's the timeframe to receive a quote?

Within 24 business hours for standard requests (seminar, private event, wedding). For complex requests (full privatisation, international event, tight calendar), count 48-72 business hours. Urgent requests < 7 days: call the MICE cell directly.

What is your MICE commission?

Standard IATA commission deducted from the hotel share (8-12% per hotel and scope). No margin added on external event services (DJ, photographer, outside caterer) — we coordinate but don't charge commission on these line items.

Can you organise a multi-hotel event?

Yes — common for anniversaries (cocktail at Le Bristol, dinner at Plaza Athénée), DACH/Europe seminars (Paris + Riviera over 3 days), destination weddings (ceremony in Provence, after-party Côte d'Azur). Our MICE cell coordinates logistics, transfers, unified signage.

Do you accept staggered payments for large events?

Yes — standard practice for events > €30,000. Typical schedule: 30% deposit at confirmation, 30% 60 days before event, 40% balance 7 days before. Terms specified on quote.

What happens in case of cancellation?

Contractual cancellation policy, communicated on quote before signing. Standard: cancellation > 90 days = no fee; 60-90 days = 30% retained; 30-60 days = 50% retained; < 30 days = 100% retained. Cancellation insurance (Allianz, Mondial Assistance) available separately.

Can you manage AV / production / external catering coordination?

Yes — we work with a short-list of AV providers (Tech Event, Lagoona, AVProject), producers (Pulse, Pollen Studio) and caterers (Potel et Chabot, Saint-Clair Le Traiteur, Lenôtre). Integrated or separate quote per your preference. Your usual providers are also welcome.
